Answer my phone when I can't

You are up a ladder, under a car, or with a customer, and the phone rings. The caller either leaves a message you will listen to at nine at night, or rings the next business on the list. This job is about having something pick up, find out what the caller wants, and hand you something useful.

What a good result looks like

Use this to judge a demo. A tool that cannot do these is not doing the job, whatever it is called.

  • It picks up in two or three rings, every time, including at 6am.
  • It sounds like a person answering a phone, not a menu system.
  • It gets the caller's name, number and what they want, and sends it to you in a form you can act on.
  • It knows when it is out of its depth and offers to take a message or put the caller through.
  • You can read or hear exactly what was said, afterwards.

What usually goes wrong

The things people find out after they have paid.

  • Some of these are sold by the minute. A run of long calls can cost far more than the monthly figure on the pricing page.
  • If it cannot transfer a live call to you, an urgent caller is stuck talking to a robot.
  • Check what happens to call recordings, and for how long they are kept. This is the most sensitive data in this whole list.
  • Test it with an accent, a bad line and a caller who interrupts. That is what your actual calls sound like.
